Create Purchase Orders from Smart Reorder
Steps
- On the Smart Reorder page, tick the products you want to order. The tick box in the header selects every product on the current page. Your selection is kept when you change page, filter or search.
- Change any Recommended qty if needed. Set it to 0 to leave a product out.
- Click Create PO (n), where n is the number of selected products.
- Check the summary: one line per supplier, with the number of products and the estimated cost. A warning Below minimum order amount appears if a supplier's total is under the minimum order amount set on the supplier.
- Click Confirm.
You're taken to the Purchase Orders list, with a message listing the POs that were created.
What's on the new purchase orders
- One PO per supplier. Products without a supplier go together on one PO without a supplier.
- Status: Pending, so you can review and send them as usual.
- Quantities: the quantities you confirmed.
- Cost: the unit cost shown in Smart Reorder. If a product has no cost, the supplier's price is used when there is one.
- Currency: the supplier's currency.
- Expected date: today plus the longest lead time among the products on the PO.
- From: Smart Reorder. The PO history shows Created from Smart Reorder, with what the recommendations were based on and the calculation number, for example Sales from 2025-11-01 to 2025-12-31 · adjusted +10% · Plan: next 60 days · run #42.
Purchase orders created from Smart Reorder are never changed by Auto-create PO.
Good to know
- The supplier, cost and lead time always come from the calculation you're looking at, not from your browser. If a product dropped out of the recommendations since you opened the page, it's skipped and you get a message saying how many products were skipped.
- While recommendations are being recalculated (the blue Recalculating… banner, for example right after you changed the sales period), Create PO first asks: Recommendations are still being recalculated. The quantities shown are from the previous calculation. Create purchase orders anyway? Click Cancel to wait for the new numbers, or OK to go ahead with the ones on screen. The same question can come up after you click Confirm, if the sales period was changed in another tab.
- If new recommendations were published since you opened the page (for example in another tab), no PO is created and you see Recommendations were just updated. Reload the page to see the new quantities. Reload, check the quantities and try again. This prevents mixing old quantities with new suppliers or costs.
Never twice, even if the connection drops
- Clicking Confirm twice doesn't create the POs twice.
- If your connection drops or the page is closed while the purchase orders are being created, open Create PO again: the window shows Checking your previous request… and the Confirm button stays disabled until the app knows what happened. If the POs were created, you're taken to the Purchase Orders list. If nothing was created, you can confirm again safely.
- If the app can't tell for sure whether a previous request created purchase orders (for example the server stopped in the middle), the page shows an orange banner: A previous purchase order request needs your review: PO-1001, PO-1002. Check these purchase orders, then confirm to continue. Open the Purchase Orders list, check (and delete if needed) those POs, then click I have checked these purchase orders. Create PO is blocked until you do, so you don't order the same products twice by mistake.
- If an error stops the creation halfway, the purchase orders that were fully created are kept, and the one being written is removed, so you never get a half-filled PO. The message tells you when some POs weren't created: Some purchase orders were not created. Please reload the page and try again.
- After creating POs, click Recalculate: the new POs count as Incoming, so those products move to Healthy.
